Key responsibilities

  • Contribute towards risk management and mitigation and ensure compliance with related Records Management practices through the company.
  • Adhere to compliance procedures and internal/operational risk controls in accordance with applicable regulatory standards, requirements, and policies.
  • Maintain BorgWarner’s Global Record Retention Policy and country-specific schedules, including analyses of internal business processes and needs vs. internal and external regulatory retention requirements.
  • Document review frequency and record retention requirements
  • Requirements for assessing consistency across multiple platforms and documents, conformance; managing and communicating change
  • Develop and execute records management training and awareness campaigns in support of Records Management program deliverables and overall best practices.
  • Guide and, if needed, help local contacts (Compliance Coordinators) establish department-specific Records Management roadmaps.
  • Develop standards to ensure the Company’s records and information (electronic, hardcopy) are, created, captured, stored, retained, destroyed, and archived appropriately to support the Company’s business operations and meet its regulatory and legal requirements
  • Receive, classify, file, audit, track and maintain centralized documentation archiving system of controlled documents according to established procedure
  • Responsible for file maintenance and record keeping; locates and retrieves file material upon request from external record archiving location
  • Compile data for the creation of metrics and reports related to document management
  • Utilize technology to support recordkeeping efforts
  • Manage vendor relationships regarding copying, storing and disposing of records
  • Partner with cross-functional groups including corporate departments and operations to understand needs and support efforts to develop and maintain technical standards and procedures as well as establishing a recordkeeping framework
  • Manage legal hold process at the direction of Legal using Exterro software
  • Work on continuous improvement projects as assigned by management
  • Other duties as assigned

What we’re looking for

  • Possess a high school diploma or equivalent; Bachelors’ degree in Business Administration or Technical degree preferred.
  • 5-10 years of experience establishing and maintaining records management program required.
  • Must have advanced verbal communication skills and be able to effectively communicate with staff, management, customers and vendors as well as public speaking abilities.
  • Must be collaborative, facilitator.
  • Must demonstrate ability to successfully work within multi-level organizations
  • Must exercise good judgment and use decision making skills to effectively perform job responsibilities.
  • Must seek knowledge and understanding of current practices
  • Must be a detail oriented, self-starter and able to work with little supervision while maintaining goals/tasks.
  • Must possess sound reasoning skills and be able to multi-task and maintain focus while sometimes working in high pressure situations.
  • Advanced knowledge of Microsoft Office products including Word (develop templates with custom styles, design and content control), Excel (spreadsheets with pivot tables and graphs) and SharePoint (develop site and pages, establish and maintain document libraries including document nomenclature, metadata and workflows)

This position will adhere to Global Star Safety Program, including safety rules, practices and training as outlined in the BorgWarner PTC Safety Policy Manual, which includes the use of equipment, protective devices, or clothing that the employer requires. This individual will work in manners that stress the importance of preventing accidents and illnesses.
