Job purpose

The Planner/Scheduler is responsible for developing detailed job packets for all tasks executed by the Maintenance Department, including spare parts needed, materials, consumables, lubricants, services, execution estimates, man-hour, instructions and any other information needed to ensure that the maintenance activity is executed in a safe, efficient and effective manner.

Key responsibilities

  • Ensure that the planned activities are aligned with the requirements of Quality Assurance and Environmental Health and Safety
  • Develop Job Plans and Task Lists for the work to be executed, with all the necessary information to plan efficiently, assign and execute the work
  • Proactively plan, generating a daily and weekly Maintenance Schedule for all areas of the business, which allows maximizing resource utilization in a safe, efficient, and effective manner
  • Coordinate the Maintenance Plan with the Production Plan to block time period and ensure that the maintenance is being executed in accordance with the availability of equipment agreed upon
  • Generate and direct Maintenance Work Orders and Inspection Routes for all proactive maintenance
  • Document notifications and Reactive Work Orders depending on the urgency of the service request
  • Ownership of the approval decision for work requirements, based on the analysis of the service request and its priority
  • Eliminate duplicate notifications and with no value-added. Also, ensure that all the necessary information is available on the notification before proceeding with its approval, based on the priority matrix
  • Revise service requests for maintenance with the internal customers, such as, production, quality assurance and safety to identify all the potential risks and ensure they are contained, and the job is executed in accordance with the defined scope
  • Update information about equipment specifications, complimentary information, spare parts, and maintenance activity history in the CMMS (Holistech)
  • Maintain and manage the Maintenance Backlog, including its prioritization for planning and scheduling
  • Plan the spare parts including quantities, costs, lead times and Parts Room availability to ensure the area can follow through and perform logistically
  • Confirm material availability and follow through, logistics and delivery for kitting
  • Evaluate technician Close-out commentary to improve the future Job Plans
  • Support and follow-up with the Planning/Scheduling Performance Indicators, including:
    • Daily Schedule Attainment
    • Weekly Schedule Attainment
    • Work Order delays
    • Preventive Maintenance Attainment
    • Backlog (4-weeks/man-hour)
    • Overdue Work Orders
    • Wrench-time and Resource Utilization
  • Develop and update the relevant information to improve upon the Maintenance Program. Including PM transactions needing creation or updating
  • Plan the operational downtime through the ledgering of activities, critical routes and time constraints in accordance with the time slots provided by the Production Planner
  • Participate and support the Reliability processes as required

What we’re looking for

  • High School Diploma or equivalent required; Associate degree (AA) or equivalent from two-year College or technical school or more is preferred
  • Minimum of 3 years manufacturing production experience required; Automotive experience preferred
  • Proficient in Microsoft Office required
  • Works cooperatively or independently and inspires a team effort with all
  • Ability to communicate well in a busy work environment
  • Strong interpersonal and communication skills
  • Highly organized with ability to multi-task
  • Treats others with courtesy and respect
